The Desert Symphony – Office Coordinator Job Description

The Office Coordinator works with the Executive Director and the Board of Directors to provide support for development, special events, marketing and communications, and concert activities. This is a full-time position, Monday – Friday, 9am – 5pm, in addition to the six concert evenings, and assistance with special events.

Key Responsibilities:

Development Support:
Responsible for managing and continually updating new donor database. Gather all existing Desert Symphony donor information to input into new database. Using donor historical activity, assist Executive Director in creating donor relations strategy and communications program.

Support for streamlining and updating new systems for all communications to existing and new donors and patrons. Provides administrative and analytical support for all fundraising activities. Assists in identifying new revenue streams including grants and sponsorship opportunities. Assists in writing grant proposals and responsible for grant calendar. Responsible for processing gifts and donor acknowledgement letters, and data request reports for Board President and the BOD.

Marketing, Promotion and Communications Support:
Assist Executive Director and Board Chair with marketing and communications activities, including production of the annual program book, social media, and donor communications. Assist with concert promotional materials production and distribution. Office Coordinator will co-manage special events with Executive Director, such as Symphonettes activities, musical soirees, and new patron opportunities.

Administrative Assistance:
This position assists in various projects, concerts, board meetings, secretarial and clerical duties. Assists in promotional materials, invitations and mailings for special events.

Manages daily front desk operations, phone calls, visitors and mail distribution.
Creates concert binders and keeps all information current.

For all concerts, assists in arranging ground transportation, hotel accomodations, and day of venue requests as outlined on artists’ riders. Assists with catering for musicians and featured artists.

Must be proficient on Office MAC.
